2002-2003 Term Header Record for Postsecondary Transcript

1. The presence of LOW-VALUES in data fields causes significant problems for several institutions in the receipt of student records. A transaction will be rejected if non-displayable characters are sent in the data unless found in Filler Reserved for Local Use. Please use some other appropriate character (e.g., SPACES) with which to initialize your records before sending them.
2. Items 11 and 12, although not required, are all fields which can be used in the translation of the FASTER format to the SPEEDE format. If your institution can supply any or all of these fields, the SPEEDE transcript produced from the translation will be more complete. Also, when receiving a transcript from a SPEEDE institution, these fields may supply you with information useful in admissions and placement.
3. Special characters, tilde (~), caret (^), and grave accent (`), are used as delimiters in the translation of FASTER to SPEEDE/ExPRESS. They are reserved symbols and as such cannot be included in data sent through FASTER to a SPEEDE/ExPRESS institution.
4. A new field, Institution Code Qualifier, item 4a, has been added to provide a code that describes the kind of Institution Code, item 5. The definitions of Institution Code and Institution Name, item 9, have been modified to describe the items more accurately.
5. Eight bytes of filler have been added after the Institution Code, item 5.
6. Notes have been added to the definition of Beginning Date, item 6, and Ending Date, item 7, stating that zeroes are valid in the month and/or day if the sending institution is a SPEEDE/ExPRESS institution or the term record is from an institution other than the sending institution.
7. The size of Term Description, item 8, has been increased from 10 to 60 bytes.
8. Type of Session, item 13, and Grade/Academic Level of Student, item 14, have been added to house SPEEDE/ExPRESS information.
9. The size of Filler, item 16, has been decreased from 870 to 807 bytes.

The record type for this transaction. The value will always be "P02".

3 14-19 6 N Term Designator*

This is a six digit code that designates the term. The first four digits indicate the year in which the term began. The last two digits designate the month in which the term began. For example, a term which began in January 1987 would have a term designator of 198701. If an institution felt that all courses which began in January, February or March of 1987 should be considered in the same term, they could designate all these courses with the same term designator of 198701.

4 20-20 1 N Term Tag Number*

This is a sequential number assigned to this header record. This same number will be assigned to all course records to follow this header. If a remark segment is to be associated with this header, it will bear the same number. This number will normally be 0 if there is only one header for each term designator. If there are multiple term headers for each term designator, this will allow for it and will keep the courses together with the appropriate header.

This code identifies the type of number sent in Institution Code.

5 21-27 23-29 7 A/N Institution Code*

This is the FICE Code Number of the institution which awarded the credit in the course segments which follow. If the code of the institution does not exist or is not known, use 9999999. Use 9999999 if the credit was not from another institution, such as Advanced Placement or CLEP credit.

This is the FICE Code or OPEID code (see Appendix B) of the institution from which the credit was received. If the code of the institution does not exist or is not known, a default value of 999999 should be sent with a value of "ZZ" in Institution Code Qualifier, item 4a.

The first field on the OPEID file contains the institution number of eight bytes, the last two of which are the campus number. For this application, use bytes 1-6, right justified, zero filled.

6 28-35 38-45 8 N Beginning Date*

This is the date of the beginning of the term. It is intended to be the date that all the classes under this header began.

Format: MMDDYYYY

If this exact date is not available, the year and month may be taken from the date indicated in the Term Designator (Item 3), above. The day may be chosen arbitrarily, as long as it is a valid day for that month. Placing zeroes here indicates that the Beginning Date is unknown.

NOTE: Zeroes are valid in month and/or day if the sending institution is a SPEEDE/ExPRESS institution or the term record is from an institution other than the sending institution.

7 36-43 46-53 8 N Ending Date*

This is the date of the end of the term. All zeroes for the Ending Date indicate that this date is unknown.

Format: MMDDYYYY

NOTE: Zeroes are valid in month and/or day if the sending institution is a SPEEDE/ExPRESS institution or the term record is from an institution other than the sending institution.

This is a free form description of the term (for example, "FALL 87-88", "WNTR 87-88", "SUMR 85-86", etc.).

9 54-83 114-143 30 A/N/L Institution Name

This is the name and address of the institution from which the credit was received. if no FICE code or OPEID was available. For example, UNIV OF THE ANDES, CHILE. It should always be used if Item 5 above does not contain a FICE or IPEDS Number.

NOTE: This field is required if the transcript is sent to a SPEEDE/ExPRESS institution and no valid Institution Code is sent.
